A step-by-step walkthrough of the full correspondence workflow: from the SystmOne home screen to a letter filed with every action reviewed and audited.
Prototype uses fictional patient data. All patient names, NHS numbers, and clinical details are invented for demonstration purposes.
SystmOne home screen
The GP logs in and sees their home dashboard with live tile counts. The Scan tile shows a red badge. 4 pending letters require attention. Everything else works exactly as normal.
- No new login, no new application. The workflow starts from the existing SystmOne home
- Badge count reflects exactly how many letters are currently pending in the queue
- Clicking the Scan tile opens the Documents Inbox
Documents Inbox
All pending letters are listed with date, type, patient, sending hospital, specialty, priority, and a status badge showing how many AI-extracted tasks remain. The Show dropdown switches between Pending and Completed.
- Urgent letters (e.g. oncology methotrexate monitoring) shown with a red badge
- Task count per letter gives instant triage information before opening
- Double-click any row, or right-click for the full SystmOne context menu
- Completed letters are filed separately - the Pending view stays uncluttered
AI Suggested Actions — all pending
Clicking Confirm opens the Scan Action screen with a new ✦ AI Suggested Actions panel. Four tasks have been extracted from Mr Ahmed's cardiology discharge letter, each with a confidence score.
- Blood Test: HbA1c and fasting lipids in 4 weeks: 95% confidence
- Medication Change: Increase Ramipril 5mg → 10mg: 88% confidence
- Referral: Cardiac Rehabilitation Programme: 85% confidence
- Recall: 6-week GP review: 92% confidence
- The Complete radio is disabled until all tasks are reviewed: the governance gate
Approving and rejecting tasks
The GP reviews each suggestion and makes a one-click decision. Approved tasks turn green; rejected tasks prompt for an optional reason. Both can be undone before the letter is completed. A running count shows progress.
- Blood test approved: order pushed into the practice task queue
- Medication change approved: prescribing workflow can be initiated
- Undo button available after every decision : correcting misclicks before completion
- Rejection reasons are recorded and displayed on the task card for the audit trail
Referral review
Referral tasks open a full review modal with an AI-drafted referral letter pre-filled from the source hospital letter and patient record. Every field is editable. The GP reviews, amends if needed, then approves or rejects.
- Pre-filled: destination, priority, reason for referral, and full clinical summary
- Patient details (name, DOB, NHS number) auto-populated from the patient record
- All fields are fully editable before the referral is sent
- Referrals cannot be bulk-approved. Each must be opened and consciously reviewed
- Once reviewed, GP can select either "Approve & Send" or "Reject"
All reviewed: letter complete
Once every AI task has been approved or rejected, a green banner confirms all actions are reviewed. The Complete radio button becomes selectable for the first time. Click OK to permanently file the letter.
- The governance gate physically prevents completion with any unreviewed suggestions
- Letter moves from Pending to Completed, removing it from the queue
- Full audit trail (who approved what, when, with what reason for rejections) is saved
- Alternatively: Forward to a colleague with a message, or Complete Later to return later
